Terms & Conditions

Welcome to Climb In Nepal! Please carefully review our terms and conditions, which govern your booking and participation in our expeditions and trekking services. These terms constitute a legally binding agreement between you (the “Client”) and Climb In Nepal (“Company,” “we,” “us,” or “our”).

1. Booking, Deposits, and Payments

Booking: A booking is confirmed once we receive a completed booking form and the non-refundable deposit. Submission of the booking form signifies acceptance of these terms.

Deposit: A non-refundable deposit (typically 20-30% of the total trip cost) is required to secure your place and initiate permit applications.

Balance Payment: The full balance must be paid no later than 60 days prior to the expedition start date. Failure to do so may be treated as a cancellation.

Payment Methods: We accept bank transfers, credit card payments, and other agreed-upon methods. All transaction fees are the responsibility of the Client.

2. Cancellations and Refunds

Client Cancellation: Cancellation must be made in writing. Refunds (excluding the deposit) are as follows:

  • More than 60 days before departure: 100% of balance paid.
  • 30-59 days before departure: 50% of balance paid.
  • Less than 30 days before departure: No refund.


Company Cancellation:
We reserve the right to cancel a trip due to insufficient participants, political unrest, natural disasters, or other unsafe conditions. In such cases, we will offer an alternative trip or a full refund of all monies paid to us. We are not liable for additional expenses incurred by the Client (e.g., flights, visas).

Force Majeure: No refunds will be given for cancellations due to “force majeure” events (war, riots, strikes, earthquakes, extreme weather, pandemics, government regulations, etc.) beyond our control. We will assist in making alternative arrangements but cannot be held financially responsible.

3. Client Responsibilities, Health, and Insurance

Fitness and Health: The Client acknowledges that high-altitude mountaineering and trekking are strenuous. It is the Client’s sole responsibility to be in excellent physical and mental health, to have obtained necessary medical advice and clearance, and to disclose any pre-existing conditions.

Travel Insurance: COMPULSORY. The Client must obtain comprehensive travel insurance covering emergency high-altitude medical evacuation (up to the maximum altitude of the trip), repatriation, hospitalization, and trip cancellation. Proof of insurance must be provided before the trip commencement. Climb In Nepal is not responsible for rescue costs or expenses incurred due to lack of insurance.

Documents: The Client is responsible for a valid passport, necessary visas, and vaccination certificates.

Compliance: The Client agrees to follow the instructions of the expedition leader/guide at all times for personal and group safety. Failure to do so may result in the Client being asked to leave the trip without refund.

4. Risks, Liability, and Assumption of Risk

Acknowledgment of Risk: The Client explicitly acknowledges that activities in mountainous regions involve inherent risks, dangers, and hazards that can lead to serious injury, illness, or death. These include, but are not limited to: altitude sickness, falls, avalanches, rockfall, extreme weather, and transportation accidents.

Limitation of Liability: Climb In Nepal, its employees, guides, and agents shall not be liable for any death, injury, loss, or damage to person or property, however caused, except where liability is expressly imposed by Nepalese law. We act as an agent for hotels, transport operators, and other service providers who operate under their own liability conditions.

Assumption of Risk: By booking this trip, the Client voluntarily assumes all risks associated with the expedition.

5. Changes to Itineraries

While we strive to adhere to published itineraries, mountain conditions, weather, government policies, and group health may necessitate changes. The expedition leader has sole discretion to alter the route, schedule, or summit plans for safety reasons. No refunds are given for itinerary changes made for safety or operational reasons.

6. Permits and Fees

We arrange all necessary trekking and climbing permits (e.g., TIMS, National Park fees, climbing permits from the Nepal Mountaineering Association or Ministry of Tourism). Permit fees are included in the trip cost where specified. Permits are non-transferable and issued in your name. If a trip is cancelled, permit fees are generally non-refundable as per Nepalese regulations.

7. Unused Services

No refunds or credits will be issued for any services included in the trip package that the Client voluntarily chooses not to use.

8. Privacy

We collect personal information for booking, permits, and operations. We may use images/videos from the trip for promotional purposes unless the Client explicitly requests otherwise in writing.

9. Complaints

Any complaint during the trip must be brought immediately to the attention of the expedition leader so that corrective action can be taken. If the issue is not resolved, a formal complaint must be submitted in writing within 30 days of trip completion.

10. Jurisdiction

These terms and conditions shall be governed by and construed in accordance with the laws of Nepal. Any legal proceedings shall be settled in the courts of Kathmandu, Nepal.

By booking a trip with Climb In Nepal, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions.
